Job Description



Administrative Assistant provides polite and professional assistance to customers; has a genuine desire to learn; brings a positive attitude to the organization.

 

Key responsibilities & duties

  • Answer the main phoneline while providing superior customer service
  • Greet visiting guests in a welcoming and professional manner
  • Create and maintain customer records in project management software
  • Mailing invoices and receipts to customers, while updating project management system
  • Daily stocking of office supplies and placing orders for needed supplies
  • Maintain all vehicle files including, but not limited to: scheduling maintenance and coordinating with field team members
  • Reconcile credit card receipts against monthly statement
  • Attend to outgoing/incoming mail, i.e. scanning invoices for payment, submitting customer payments to Accounting Department for deposit
  • Create and maintain office documents such as; phone lists, equipment and supplies for each department, and required PPE for each worker
  • Maintain front end marketing promotions
  • Assist with the administrative projects and tasks as assigned or requested by fellow team members
  • Other duties as needed
