Position Overview Allied Universal is seeking a highly organized and proactive Recruiting Assistant to support our growing Talent Acquisition team. In this role, you will serve as the backbone of our hiring process—managing administrative logistics, coordinating candidate communications, and ensuring a seamless, high-quality experience for every applicant.

Key Responsibilities
ATS Management: Maintain accurate, real-time updates within the Applicant Tracking System (ATS), ensuring all candidate statuses, interview notes, and documentation are properly recorded.
Candidate Communication: Serve as the primary point of contact for applicant inquiries via phone and email, providing timely updates, logistical details, and professional correspondence.
Interview Coordination: Schedule and coordinate phone, video, and in-person interviews across multiple hiring panels and time zones.
Pre-Employment Screening: Assist with initial resume screening and facilitate introductory administrative hiring requirements.
Onboarding Logistics: Support the HR team by preparing onboarding documentation, coordinating orientation schedules, and assisting with new-hire readiness.
Operational Support: Greet onsite candidates, manage reception logistics, and swiftly resolve real-time scheduling conflicts or cancellations.
Qualifications & Skills
Experience: 1+ years of experience in administrative support, customer service, or a human resources coordinator capacity.
Systems Familiarity: Prior experience utilizing an Applicant Tracking System (ATS) or HRIS platform is highly preferred.
Software Proficiency: Advanced proficiency in Microsoft Office Suite (Word, Excel, Outlook) or Google Workspace, with specific expertise in complex calendar management.
Communication Skills: Outstanding written and verbal communication skills, with a strong emphasis on professional, clear, and empathetic correspondence.
Discretion: Proven ability to handle highly sensitive, confidential candidate records and personnel information with absolute integrity.
Education: High school diploma or equivalent required; coursework or a degree in Human Resources, Business Administration, or a related field is a plus.
